Overview
WasteWise Marketplace ("WasteWise," "we," "us," or "our") operates the website wastewisemarketplace.com and related services. This Privacy Policy explains what information we collect, how we use it, and what rights you have over your data.
We've tried to write this in plain English. If anything is unclear, email us at hello@wastewisemarketplace.com and we'll clarify.
What We Collect
Information you give us directly
When you submit the invoice analyzer or intake form, we collect:
- Your name and job title
- Your practice name, practice type, and location (zip code, city, state)
- Your email address and phone number
- Information about your current waste disposal provider, monthly bill, and waste volume
- Line items from the invoices you submit (fee names and amounts)
- Any notes or comments you share with us
Information collected automatically
When you visit our website, we automatically collect:
- Your IP address and approximate geographic location
- Browser type, device type, and operating system
- Pages you visit on our site and the referring site
- Time and date of your visit
This data is collected by our hosting provider (Netlify) and any analytics tools we use for standard website operations and security.
Cookies
We use a minimal set of cookies required for the website to function. We do not currently use third-party advertising or tracking cookies. If this changes, we will update this policy and request your consent.
How We Use Your Information
We use the information you provide to:
- Analyze your invoice. We review the line items you submit to identify potential overcharges, flag junk fees, and show you a line-by-line breakdown of what shouldn't be on your bill.
- Match you with operators. When you request quotes, we send an anonymized inquiry to 2-3 medical waste operators in our directory. We share information needed for an accurate quote (your zip code, practice type, pickup frequency, waste volume, and current monthly spend). We do not share your practice name, address, contact information, or current operator name with bidding operators. We assemble the responses into a side-by-side quote comparison and send it to you.
- Connect you with the operator you choose. Only after you select an operator from the comparison do we share your contact information with that specific operator so they can finalize service with you.
- Communicate with you. We send a confirmation email when you submit a form, follow-up emails with quote comparisons, and a 30-day check-in email after you select an operator (so we can flag bait-and-switch quote issues).
- Improve our service. We analyze aggregated and anonymized data to improve the invoice analyzer, identify common fee patterns, and refine our operator matching.
- Comply with the law. We may retain or disclose information when required by a court order, subpoena, or other legal process.
Who We Share Your Information With
Provider partners
When you submit an intake form requesting quotes, we share a limited subset of your practice information with up to 2-3 providers in our network — only what they need to prepare an accurate quote. We do not share every field you submit.
What we share with providers when requesting quotes:
- Practice type (dental, vet, medical, etc.)
- Zip code (so they can confirm service area and calculate routing)
- Pickup frequency and waste volume
- Container needs (sharps, red bags, etc.)
What we do NOT share at the quote stage:
- Your name, email, phone, or any contact information
- Your practice name
- Your current provider's name
- Your current invoice amount or specific line items
- Specific junk fees we identified on your bill
- Internal notes or comments you share with WasteWise
Providers compete for your business based on service requirements alone. They cannot contact you directly during the quote phase — all communication flows through WasteWise.
If you accept a quote and choose to move forward with a provider, we then share your contact information (name, email, phone) with that specific provider so they can set up your service. We never share your contact info with providers whose quotes you didn't accept.
We keep pricing intelligence (your current invoice details) and contact information private so providers must quote competitively based on actual service requirements, not by undercutting a specific number or by reaching out to you independently. This gives you better offers and control over who contacts you.
Providers in our network have agreed to use your information only for the purpose for which it was shared and to handle your data in accordance with applicable privacy laws. They are independent businesses, not agents of WasteWise.
Service providers
We use third-party services to operate our business:
- Supabase — hosts our database where your information is stored
- Netlify — hosts our website
- Cloudflare — domain and DNS management
- Resend — sends transactional emails
- Zoho Mail — manages our inbound email
These providers access your information only as needed to deliver their services and are required to protect it.
Legal compliance
We may disclose your information if required by law, subpoena, court order, or other legal process, or to protect our rights, property, or safety or that of others.
Business transfers
If WasteWise is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you via email before any such transfer.
What we do NOT do
We do not sell your personal information. We do not share it with data brokers, advertisers, or marketing companies. We do not use your data for any purpose other than what's described in this policy.
How We Protect Your Information
We use reasonable technical and organizational measures to protect your data, including:
- HTTPS/TLS encryption for all website traffic
- Row-level security on our database so only authorized parties can access lead data
- Secure authentication for our CRM system
- Regular review of access controls
No system is perfectly secure. If we ever experience a data breach that affects your information, we will notify you in accordance with applicable law.
How Long We Keep Your Information
We retain your information for as long as necessary to provide our service and for legitimate business purposes:
- Lead information: up to 3 years after your last interaction with us
- Email communications: up to 3 years
- Website analytics data: up to 2 years

Your Rights
You have the right to:
- Access a copy of the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Delete your personal information ("right to be forgotten")
- Opt out of future emails by clicking the unsubscribe link or emailing us
- Restrict how we use your information
- Portability — receive your data in a common format so you can move it elsewhere

Children's Privacy
Our services are intended for business use by adults. We do not knowingly collect information from anyone under 16. If you believe a minor has provided information, contact us and we'll delete it.
State-Specific Rights
California residents
Under the California Consumer Privacy Act (CCPA), you have additional rights including the right to know what personal information we collect, the right to delete it, and the right to opt out of any "sale" of personal information. We do not sell personal information. To exercise your California rights, email hello@wastewisemarketplace.com.
Other states
If your state has privacy laws that grant rights beyond those described above (such as Virginia's VCDPA, Colorado's CPA, or similar laws in other states), we will honor those rights. Contact us and we'll explain what's available to you.
International Users
WasteWise operates in the United States. If you're accessing our site from outside the US, your information will be processed and stored in the US, which may have different data protection laws than your home country.
Changes to This Policy
We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top. Material changes will be communicated via email to active leads and posted prominently on this page.
